1. What does the promotion involve?
This is an independent website owned and operated by SPARK Marketing Services Limited on behalf of the Post Office Holiday Prize Draw promotion.
It exists to allow Post Office savings account customers the chance to win a holiday worth £5,000. There’s 1 holiday available to be won each week for a total of 9 weeks, and it’s open to UK residents aged 18 and over. To qualify, you need to:
a) deposit at least £2,000 into an eligible Post Office savings account between 30th December 2024 to 2nd March 2024; and
b) opt in online by entering your full name, email address, phone number, date of birth and postal address details at this website.
2. Who We Are and Our Roles
The Post Office are the Promoter of the holiday prize draw and primary data controller for any data collected via the Promotion. They shall:
- Receive winner information from SPARK on a weekly basis (including name, email, phone number, date of birth and address)
- Verify winners’ eligibility to claim the holiday prize in line with the terms and conditions and confirm eligibility to SPARK
However there are a couple of trusted third parties who’ll also be handling your data, to help with the fulfilment of the Promotion only.
SPARK Marketing Services Ltd (SPARK) are a sales and marketing agency, their role includes:
- Build and hosting of the promotional website
- Collection of personal information for entry into the promotion via this website
- Randomly drawing winners by electronic algorithm and sharing winners’ details on a weekly basis with Post Office for verification
- Contacting winners via phone and email to notify them of their prize
- Providing customer service support for promotional entrants
- Sharing of winners’ details with Cloud Nine Incentives Ltd to arrange holiday fulfilment
- Handling and storage of personal data securely in accordance with SPARK’s Privacy Policy, which you can find here.
Cloud Nine Incentives Ltd are a travel and prize fulfilment agency, their role involves:
· Receipt of verified winner details from SPARK (including name, email, phone number and address)
· Contacting prize winners directly to discuss their holiday experience
· Requesting photographic ID of winners to arrange their prize
· Booking of holiday with an ABTA-bonded tour operator
· Providing prize management for the winners throughout
· Handling and storing of data in accordance with their Privacy Policy, which you can find

3. What data do we collect data and why?
We collect and process the following data when you interact with this website:
- Personal Information: Full name, email address, phone number, date of birth and home address
- Usage Data: Information on how you interact with the website, such as your IP address or device type is gathered using commonly used tools such as cookies. Please see Cookies Policy for more information.
There are a few reasons why we collect this data…

Your personal information such as date of birth and home address are asked for so that we can verify these details match the details held on your Post Office saving account, and that you’re eligible to enter. It’s important these details match so that we can locate your account and check whether you’ve met the required spend criteria.

4. Sharing Your Information
Your personal information will only be shared between the Post Office and trusted third parties such as SPARK and Cloud Nine Incentives for the purposes of fulfilling the Promotion.
Cloud Nine Incentives will only share prize winners’ details with third party suppliers for the purposes of booking travel arrangements or to fulfil the prize elements.
We will not sell or share your personal information with any other third parties outside of those required to administer the Promotion.
5. How long do we keep your personal data?
The Post Office will continue to retain and hold your personal data in line with their policy.
SPARK will only retain your data as long as necessary to administer the Promotion and comply with any legal obligations. Data of non-winning entrants will be securely deleted within 4 months after the Promotion closing date.
Both SPARK and Cloud Nine Incentives will keep personal data of winners for the duration of their prize-winning experience (after travel has occurred) and for up to 12 months after. In some instances, if personal data appears on a financial statement relating to a prize, we are required by law to keep these records for 7 years.
For very good reasons, we may keep your data for longer than the periods provided, such as if you were unfortunately involved in a safety incident. If we cannot delete it for legal, regulatory, or technical reasons, we will make sure that your privacy is protected and only use it for those purposes.
6. What are your rights with regards to the data we hold?
You can at any time:
- Access the data we hold about you (this is normally free of charge and we’ll let you know if not).
- Correct whatever we hold which is incorrect, out of date or incomplete.
- Request that we delete your data under certain conditions.
Your right to withdraw consent
Whenever you have given us your consent to use your personal data, you have the right to change your mind at any time and withdraw that consent – you just need to contact us to let us know, but it does mean you’ll no longer be able to participate in the weekly prize draws.
We will always need to confirm your identity should you wish to make any changes to the data we hold.
